Role Summary
This is a dual-role position requiring both executive support and business development coordination. You’ll be responsible for managing critical administrative functions while driving lead management, proposal support, CRM oversight, and client communications.We’re looking for someone who thrives in structured, fast-moving environments and brings a high level of ownership, communication, and follow-through.
Key Responsibilities
Sales & Business Development Execution
- Research, identify, and track bids, RFPs, RFQs, ITBs, and contract opportunities using BidNet, DemandStar, Sam.gov, and similar platforms- Manage and prepare proposal documents, cover letters, and capability statements—including formatting, attachments, and deadline submissions
- Maintain CRM systems (Salesforce, HubSpot, Airtable, etc.)—track lead status, outreach, follow-up tasks, and engagement history
- Draft business emails, proposal content, client summaries, and follow-ups using appropriate tone and branding
- Use AI tools like ChatGPT for proposal drafts, internal communications, and content development
- Organize and manage business files and documents via SharePoint for cross-team access and version control
- Assist with business development-related marketing, event planning, vendor onboarding, and trade show logistics
Executive Administrative Support
- Manage and maintain calendars for the CEO and Director of Business Development- Coordinate and book travel, confirm itineraries, and ensure proper logistics for client and internal meetings
- Prepare presentations, executive summaries, reports, and client-facing documentation using Microsoft Office
- Serve as the internal point of contact for scheduling, meeting preparation, and external follow-ups
- Support coordination for networking events, sponsorships, and strategic outreach activities
- Draft executive communications and ensure timely and professional responses to external partners
Required Skills & Experience
- 3–5 years in a Business Development, Sales, or Executive Administrative support role- Experience preparing proposals, RFP responses, and business development documentation
- High-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- CRM platform experience (e.g., Salesforce, Airtable, HubSpot)
- Working knowledge of SharePoint for document management and version tracking
- Familiarity with AI tools such as ChatGPT for drafting, automation, and content generation
- Strong writing and editing skills—must be able to communicate with clarity and professionalism
- Capable of managing competing priorities and meeting deadlines in a fast-paced environment
- Experience in staffing, consulting, or workforce development a plus
- Bilingual (Spanish or Haitian Creole) is a bonus
Compensation & Schedule
- Annual Salary: $60,000–$65,000 (Based on experience and capability)- Schedule: Full-time | On-site | Monday–Friday
- Occasional availability may be required for urgent executive support or proposal deadlines
